Research Grants Coordinator

Position Summary: The Research Grants Coordinator is the glue that holds the Research and Scientific team together. This position plays a critical role in our annual $30 million funding for research in Crohn’s disease & ulcerative colitis, also known as inflammatory bowel diseases (IBD). You will develop and foster strategic relationships with applicants, scientists, and committee members.  You will work closely with the Research Department team to communicate well with other departments across the Foundation. You will make sure that things get done right and that nothing falls through the cracks. Please apply if you possess the following qualifications:

Qualifications Required:

  • BA/BS degree or equivalent experience
  • Minimum 3 years of work experience preferred
  • Motivated, self-starter, able to work independently and exercise good judgment
  • Team-oriented
  • Must work well and communicate effectively with other staff and scientists and physician and patient volunteers
  • Ability to prioritize and handle multiple tasks
  • Must be extremely detail-oriented, highly organized and meet timelines
  • Proficiency in Microsoft programs (Word, Excel & PowerPoint)
  • Strong oral and written English communication skills
  • Accounts Payable experience a plus

Essential Functions & Responsibilities:

  • Works with the Senior Manager of Grants and Contracts to manage pre-award and post awards functions; ensuring an accurate, timely, efficient and transparent process for the entire grant lifecycle, from proposal to close. This entails pre-award management, including handling applications through proposalCENTRAL, coordinating with the grants review committees, and providing feedback to applicants; and post-award management, including tracking payments, reviewing or producing relevant reports, and communicating regarding questions from awardees.
  • Working closely with the Research Department team to ensure effective communication with other departments across the Foundation; ensuring that mechanisms are in place to provide updates on recent department scientific activities and new discoveries.
  • Communicating well with all stakeholders in this process, including grant applicants, patient and scientist volunteers, and IBD researchers across the globe.
  • Supports the Senior Manager of Grants and Contracts and the Chief Scientific Officer in managing the relationship between the Research Department and the different grants review committees.
  • Provides general assistance and coordination for ongoing research programs and meetings, arranging conference calls, project coordination and follow-up.
  • Sets up and attends grants review committee meetings and conference calls and take notes as appropriate.
  • Processes vendor payments, and miscellaneous reimbursements in the Foundation's account payable database.
  • Assists with different departmental tasks, special projects, and other duties as assigned.
